The challenge
Guests asked at night. Answers came in the morning.
One clerk covers the night shift. Most late questions were the same few — check-out time, parking, the breakfast room, the pool hours — and each one pulled the clerk away from late arrivals.
The owners wanted guests answered at once, in their own language, without adding staff and without a machine inventing hotel policy.
What we did
- Technology
- We gathered the house rules into one page the staff can edit, built an assistant that answers only from it, and set a hand-off to the desk for anything it cannot answer.
The work
Ask the hotel assistant
Asks about rooms, breakfast or check-in; gets answers with their sources.

The outcome
The night shift handles what needs a person.
Routine questions get an answer in seconds, at any hour. The night clerk spends the shift on arrivals and on the requests that need a person, and the answers stay current because staff change the house rules in one place.
In their words
“Guests used to wait until breakfast for simple answers. Now the night shift only picks up what really needs one of us.”
